DART Rate Calculators Reviewed: What to Check First

Type "dart rate calculator" into a search engine and you'll find dozens of free tools that promise a number in seconds. Most of them ask for one input — "total recordable cases" — and hand back a rate labelled DART. That's the tell. A genuine DART rate calculator has to separate cases involving days away, restricted duty or job transfer from the milder cases that are recordable but don't belong in that count. If a tool never asks which type each case is, it isn't calculating DART. It's calculating TRIR and putting the wrong label on it. We pulled apart what the good ones do differently, and what to check before you trust any number one of these tools gives you.

What's the actual difference between a DART calculator and a TRIR calculator?

The formulas look identical on the surface. Both multiply a case count by 200,000 — the hours worked by 100 employees over 50 weeks at 40 hours — and divide by total hours worked by your whole workforce. The difference is entirely in the numerator.

TRIR counts every recordable case: deaths, days-away cases, restricted-work or transfer cases, and the milder "other recordable" cases — think a laceration needing stitches, with the employee back on shift the same day and no restrictions. DART counts only the first three. It deliberately drops the other-recordable cases, because DART exists to measure severity, not to count every trip to the 300 Log.

That means a correct DART rate calculator needs to know, case by case, which of those buckets each recordable injury falls into. A calculator that only asks "how many recordable cases did you have this year?" has no way to draw that line. It can produce a valid TRIR. It cannot produce a valid DART rate — full stop — no matter what it prints on the results screen. Why do so many free tools get this wrong?

Mostly because DART and TRIR share a formula shape, so it's easy to build one calculator, swap the label depending on which button someone clicks, and never actually change what's being counted underneath. Whoever built the calculator often reasoned "same formula, same denominator, just a different name for the numerator" — without building the logic that separates days-away and restricted cases from other-recordable ones. The result looks finished. It has a clean interface, a big number, maybe a colour-coded gauge. It is, quietly, wrong for any employer whose recordable cases include even one medical-treatment-only injury with no days away and no restriction — which is most employers with more than a handful of cases a year.

There's also a simpler reason: building the DART-specific logic requires asking the user more questions. A single "total recordable cases" field is a faster form to fill in than one that asks the user to classify each case by outcome. Speed sells. Accuracy doesn't show up until someone compares the number against a second tool, or against their own 300 Log.

What a trustworthy DART calculator does versus a sloppy one

Run any calculator through this checklist before you use its output anywhere that matters — a corporate scorecard, a bid submission, an insurance renewal.

What separates a DART rate calculator that's actually calculating DART from one that's quietly running a TRIR calculator underneath.

The single most useful thing a calculator can show you is its working. If a tool tells you "5 of 8 recordable cases counted toward DART" and lists which ones, you can check its logic against your own case file in under a minute. If it just prints "DART: 2.32" with nothing behind it, you have no way to catch an error, and neither does anyone auditing your safety metrics later.

A discrepancy we traced back to one silent substitution

A mid-sized logistics operator ran the same year's case data through two free online calculators to sanity-check a number before a client audit. The first returned a DART rate of 3.25. The second returned 2.32. Same hours worked, same year, same eight recordable cases — a gap wide enough that someone on the safety team assumed one of the tools had a bug.

It didn't. The first calculator asked for a single field: total recordable cases, which was seven (the eighth case had been ruled first aid, correctly excluded from both). It multiplied seven by 200,000 and divided by the year's hours worked, then labelled the result "DART Rate" on the results page. What it had actually calculated was TRIR — every recordable case, no distinction between severity levels.

The second calculator asked the team to enter each case's outcome: how many involved days away, how many involved restricted duty or transfer, and how many were medical-treatment-only with no restriction. Of the seven recordable cases, five met the DART criteria; two were medical-treatment-only — a laceration closed with stitches and a chemical splash treated with prescription ointment, neither with days off or duty changes. Five cases times 200,000, divided by the same hours worked, produced 2.32.

The first number wasn't wrong as a TRIR. It was wrong as a DART rate, because the calculator behind it never separated the case types in the first place — it just relabelled its only output. Once the team re-ran both figures side by side, the picture made sense: TRIR at 3.25, DART at 2.32, exactly the relationship you'd expect since DART is always a subset of TRIR for the same period. If your DART rate calculator ever returns a figure higher than your TRIR, or identical to it when you know you have other-recordable cases on file, that's the moment to stop and check what it actually counted.

Common pitfalls when trusting a DART rate calculator

  • Trusting a tool that never shows which case types it counted. If you can't see the breakdown, you can't verify the answer — you're taking the label on faith.
  • Confusing DART with TRIR because a tool used vague field names. "Incidents," "recordables," and "cases" get used interchangeably by calculators that were never built to distinguish DART-qualifying cases from the broader recordable set. Read the field labels literally before you enter anything.
  • Using the wrong hours-worked denominator. DART and TRIR both need actual hours worked by every employee, not scheduled or paid hours. Paid hours include holidays, sick leave and vacation time that nobody actually worked, which inflates the denominator and understates the rate. A calculator that doesn't ask you to specify which figure you're entering leaves that mistake entirely on you.
  • Assuming a restriction needs a doctor's note to count. This isn't a calculator problem exactly — it's an input problem that breaks even a well-built calculator. Under 1904.7(b)(4), a case counts as restricted work if normal duties were curtailed for any part of a day, with or without medical instruction. Under-reporting restricted cases at the classification stage understates DART regardless of how good the calculator's maths is.
  • Feeding a calculator the wrong case in the first place. A DART rate calculator can only work with cases you've already decided are recordable. If the underlying OSHA recordable determination was wrong — a first-aid case logged as recordable, or a genuinely recordable case left off entirely — every rate downstream inherits that error. One EHS manager we spoke with put it this way: "I stopped trusting free calculators the day I found one that gave me the exact same number for TRIR and DART on a year where I definitely had medical-treatment-only cases. It hadn't asked me to separate anything — it just ran one formula twice with two different headings on top."

How can I check whether a calculator's DART number is actually right?

Run a manual check on a small sample before you trust the tool at scale. Pick three or four cases you know the outcome of — one days-away case, one restricted-duty case, one medical-treatment-only case — and see whether the calculator's total changes correctly when you add or remove each one. If removing a medical-treatment-only case doesn't change the DART figure at all, the tool is working correctly: that case type shouldn't affect DART. If removing it does change the number, the calculator was including cases it shouldn't have, and the DART rate it's been giving you has been too high all along.

It's also worth checking whether the tool distinguishes DART from your OSHA 300 Log and 300A summary totals, since those documents are where the underlying case counts should ultimately reconcile. If your calculator's numbers and your 300A's totals don't match, one of them is wrong, and it's worth working out which before either number goes anywhere official.
